Refund Policies

Refund policies for each program are listed below. If you have any questions about these policies please contact the club treasurer.

2025 SPRING/SUMMER TRAVEL

Signup policy: Signups for tournaments will be open at a minimum of 90 days before the event starts. Payment policies for Tournaments: ● Spring and Summer Tournaments: ○ Program is Announced - Sometimes a hold deposit will be due at the initial sign up ○ You will receive an offer letter on March 15th, payments for all events are due on March 25th ○ Acceptance response - 100% of the tournament fees are due to lock in your spot once you accept your spot (March 15th, 2025). ● Summer Vacation Series Tournaments: ○ Program is Announced - Sometimes a hold deposit will be due at the initial sign up ○ 30-60 days before a tournament you will get notifications on when the rest of the deposits are due. ○ 30 days before Tournament - 100% of the tournament fees are due to lock in your spot. ● Tournament Teams: ○ Program is Announced - Sometimes a hold deposit will be due at the initial sign up ○ 30 days before a tournament you will get an offer letter if you make the team ○ Acceptance response - 100% of the tournament fees are due to lock in your spot once you accept your spot. Cancelation fees and refund timeline: There are no refunds on payments for cancellations less than 30 days prior to the 1st day of the Tournament. There is an additional 4% fee added to the amount refunded. ● 60 days or more prior to tournament: 100% refund ● 30 to 59 days prior to tournament: 50% refund ● Less than 30 days prior to tournament: 0% refund Minimum Tournament Communication xdays before event: ● 60 - 90 Days - Email communication that 100% of the tournament fees are due to lock in your spot ● 30 - 60 Days - Jersey and socks order instruction will be sent ● 30 - 60 Days - Practice schedule sent out ● 15 - 30 Days - TeamSnap created and Coach announced ● Day 30 or once assigned - Team manager can coordinate a social event before or during the tournament ● Day 15 - If you ordered a jersey and didn’t have it delivered to your home you will get an email indicating when they will be available for pickup.

At Pro Vision Hockey Academy, we are committed to ensuring your satisfaction with our programs and services. We understand that circumstances may arise that require a refund. Please review our refund policy outlined below: Program Cancellations by Pro Vision Hockey Academy: In the event that Pro Vision Hockey Academy cancels a program or session, participants will receive a full refund of any fees paid. We will notify registered participants as soon as possible regarding any cancellations. Participant Withdrawal Before Program Start: If a participant withdraws from a program before it begins, refunds will be issued as follows: Withdrawal more than 30 days before the program start date: Full refund minus a processing fee of 3.5% Withdrawal 15-30 days before the program start date: 50% refund of program fees. Withdrawal less than 15 days before the program start date: No refund will be issued. Participant Withdrawal After Program Start: Once a program has commenced, refunds will be prorated based on the number of sessions remaining. A processing fee may apply. Procedure for Requesting a Refund: To request a refund, participants or their guardians must notify Pro Vision Hockey Academy in writing via email or certified mail. Please include the participant's name, program details, reason for withdrawal, and contact information. Refund Processing Time: Refunds will be processed within 14 days of receiving a written refund request. The refund will be issued using the original method of payment. Exceptions: Medical Reasons: In cases of injury or illness preventing participation, a prorated refund may be considered with appropriate documentation from a licensed medical professional. Extenuating Circumstances: Refund requests due to exceptional circumstances not covered by this policy will be reviewed on a case-by-case basis. By registering for Pro Vision Hockey Academy programs, participants and their guardians acknowledge and agree to abide by this refund policy. Program Refund Policy Pro Vision Hockey Academy is committed to providing a positive and fulfilling experience for all participants in our sports programs. However, we understand that circumstances may arise that require participants to withdraw from the program. To ensure fairness and transparency, we have established the following refund policy: Cancellation by Organizer: In the event that we cancel a sports program for any reason, participants will be entitled to a full refund of any fees paid. Participant Withdrawal: If a participant withdraws from the program before the start date, they may be eligible for a full or partial refund depending on the timing of the withdrawal and any costs incurred by the organizer. Participants withdrawing after the program has commenced may be eligible for a partial refund, determined based on the number of sessions attended and any costs incurred by the organizer. Refund Request Procedures: Participants must submit a written refund request to info@provisionhockeyacademy.com specifying the reason for withdrawal. Refund requests must be submitted 10 days prior to the beginning of the session, and requests received after this date may not be honored. Documentation, such as a medical certificate or proof of relocation, may be required to support refund requests. Partial Refunds: A portion of the program fee may be non-refundable to cover administrative expenses, facility rentals, or other costs incurred by Pro Vision Hockey Academy. Any non-refundable portion of the program fee will be clearly communicated to participants at the time of registration. Special Circumstances: Participants facing extenuating circumstances, such as military deployment or unforeseen emergencies, may request special consideration for a refund. Such requests will be reviewed on a case-by-case basis, and decisions will be at the discretion of Pro Vision Hockey Academy. Refund Processing: Refunds, if approved, will be processed within 10 business days following the receipt of the refund request and any required documentation. Refunds will be issued in the original form of payment whenever possible.
